Executive Assistant to the Fundraising Department

POSITION SUMMARY:
Under the supervision of the Director of Development, the Executive Assistant plays a crucial role in supporting the Director, Deputy Director, and the Development team in achieving fundraising goals. This position requires a highly organized, detail-oriented, and proactive individual with exceptional communication and interpersonal skills. The Executive Assistant will help expedite the workflow of the department by managing the administrative tasks, coordinating meetings and events, assisting with donor relations, and ensuring the efficient operation of the Development office. This position will also be responsible for helping in the Executive Office on an as needed basis.
COMPENSATION AND BENEFITS:
- Salary Range: $95,000-$100,000 (depending on experience)
- Employment Type: full-time, exempt position with benefits

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES:
- Work with the Development Director, Deputy Director and JFCS Executive Director on the Holocaust Center Capital and Endowment Campaign including but not limited to administrative updates to reports and proposals, scheduling, and other correspondence associated with the Capital and Endowment Campaign
- Handle incoming communications, including emails, phone calls, and mail, ensuring timely responses
- Assist in the planning and execution of fundraising events, donor meetings, and other development activities
- Prepare donor profiles, briefings, and research for meetings with potential and current donors
- Serve as a point of contact for donors, handling inquiries and provide assistance as needed
- Coordinate and support donor recognition activities, including thank-you calls, letters, and events
- Ensure timely and personalized communication with donors, enhancing donor engagement and satisfaction
- Assist in organizing and coordinating fundraising events, including venue selection, budget management, catering, invitations, and logistics
- Support the Director and Deputy Director in managing special projects, ensuring deadlines are met and objectives are achieved
REQUIREMENTS:
- Bachelor’s degree or equivalent experience in a related field is required
- 3-5 years of experience in an executive assistant or similar role
- High level of interpersonal skills and judgment to handle sensitive and confidential situations with tact and poise
- Ability to discern and communicate with the highest level of tact and diplomacy, both verbally and in writing to members of the Board of Directors, the Executive Leaderships and Committees, agency officials, and all levels of the organization
- Demonstrated intermediate proficiency in Microsoft Office Applications (Excel, Word, PowerPoint, Outlook)
- Familiarity with CRM software, such as Salesforce or other donor management software is preferred
- Experience in event planning and coordination preferred
- Demonstrated community relations and public relations competence required
- Understanding of fundraising principles and practices preferred
- Ability to work occasional evening or weekend hours for events or deadlines required
