Rhoda Goldman Plaza (RGP) is an assisted living and memory care community, built on a foundation of not-for-profit values and Jewish principles. POSITION SUMMARY:
Under the supervision of the Rhoda Goldman Plaza (RGP) Community Director, the Administrative Assistant plays a crucial role in supporting the administrative and operational functions of Rhoda Goldman Plaza. This position is responsible for providing essential administrative support to the office team. The Administrative Assistant serves as the primary receptionist for the Administrative Office, acting as the first point of contact for residents, visitors, and staff, ensuring smooth communication across the community. In addition, the Administrative Assistant ensures efficient office operations, manages office supplies, and supports various departmental functions, including HR, marketing, and resident services.
COMPENSATION AND BENEFITS:

Hourly Pay: $28.13 – $32.93/hr (depending on experience)

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES:
- Manages the day-to-day operations and provides administrative support to staff, assisting with filing, data entry, and other administrative functions
- Manage long-term care insurance claims for residents
- Accept and report resident special maintenance requests
- Oversees the office supply inventory and maintains an orderly supply inventory and space
- Maintain resident and staff databases
- Support activities and resident services, including coordinating and assisting with special events and resident activities
- Assist and support with other marketing and outreach initiatives
- Support the production and distribution of the community publication (i.e. Olive Press), ensuring staff adherence to deadlines
- Enroll new employee with biometric fingerprint access and create name badge and fob access
- Support Paylocity HRIS troubleshooting for front-line staff
JOB QUALIFICATIONS:

Bachelor degree in any relevant area

A minimum of 2 years of experience in office management, administrative support, or front desk supervisory roles, preferably in a senior living or healthcare environment

Experience with database management and office software, including MS Office Suite proficiencies, Mailchimp, Constant Contact, and other relevant tools for communication, design and record-keeping

Must undergo a Physical exam and Tuberculosis Screening, resulting in a negative TB diagnosis prior to employment

Must obtain clearance or exemption approval from the Department of Social Services following FBI and DOJ livescan background check prior to employment

Knowledge of privacy and confidentiality regulations and ability to handle sensitive resident and employee information with discretion

Experience in marketing and communications, including assisting with the creation of newsletters, promotional materials, and outreach efforts
